Short-Term Rental, Holiday House & Airbnb Service Policy
Cutleaf Lawn Care & Garden Services
Cutleaf provides lawn mowing and garden maintenance services to owners and managers of short-term rental properties, holiday houses and Airbnb/Stayz listings across Bass Coast, South Gippsland and the Goulburn Valley. This policy explains how we manage these properties differently from standard residential services, given the unique demands of guest turnover, remote ownership and seasonal fire risk.
This policy should be read together with our Lawn Mowing Policy, Garden Maintenance Policy, and Terms & Conditions. Where there is any inconsistency, our Terms & Conditions take precedence.

Unlike a standard residential lawn, a holiday rental must present well for every guest arrival, not just on a routine schedule. We understand presentation directly affects your bookings, reviews and guest experience.

Most short-term rental clients do not live locally. Wherever possible, we communicate by SMS, email or your preferred platform rather than requiring an on-site conversation, and can send photo confirmation of completed work.

Where possible, we schedule services around your check-out/check-in windows rather than a fixed weekly day, to ensure the property presents well for arriving guests. This requires advance notice of your booking calendar — see Section 6.

As short-term rental properties may be occupied by guests or vacant between bookings, the scope of work we carry out will depend on the property's occupancy status at the time of service:
Vacant (no guests on-site): Major or disruptive works — such as significant pruning, hedge reduction, garden bed restoration, or larger mowing/garden packages — will only be carried out when the property is unoccupied, to avoid disturbing guests and to allow full access to all areas.
Occupied (guests on-site): Where a property is occupied, we will carry out routine maintenance only (e.g. standard mowing, light garden tidy-up), keeping noise, disruption and access to guest areas to a minimum. Major works will be deferred to the next vacant period.
Clients are responsible for providing reliable access (e.g. lockbox code, key safe, or property manager contact) and for advising us of the property's booking status ahead of each scheduled visit, so we can plan the appropriate scope of work. We are not responsible for missed or reduced-scope services caused by inaccessible or incorrect access details, or where occupancy status was not communicated in advance.

Where a same-week booking creates an urgent need for service (e.g. a last-minute guest arrival), we will do our best to accommodate this, subject to crew availability. Urgent or after-hours requests may incur an additional call-out fee.

For the most reliable scheduling, we recommend clients share calendar access (e.g. Airbnb/Stayz export link, or a shared calendar) so we can proactively schedule around guest stays rather than relying on manual updates each time.

As with all services, wet weather or unsafe conditions may require a service to be rescheduled (see our Lawn Mowing Policy). Where a scheduled service falls close to a guest check-in and cannot proceed due to weather, we will prioritise rescheduling before the next check-in where possible, but cannot guarantee this in all circumstances.

Bass Coast and South Gippsland councils issue fire hazard reduction notices over summer. As many holiday properties are unoccupied for extended periods, overgrowth can go unnoticed by the owner. We can provide scheduled maintenance to help meet council fire hazard obligations — see our Vacant Block Mowing service for larger blocks.

For remote owners in particular, our team may take before-and-after photos of completed work as standard practice, to give confidence the property is presentation-ready. These are stored securely per our Privacy Policy.

Given the absence of an on-site client, short-term rental accounts are typically set up on recurring invoicing / card on file — please confirm your preferred billing arrangement with our office.

Our team takes reasonable care to secure gates, pool areas and hazards during and after service, but cannot be responsible for guest actions or property security outside the service visit itself.

Providing accurate and current access details
Notifying us of booking calendar changes where possible
Advising us of any property-specific hazards or restrictions
Reporting any concerns promptly after a service
